# Adding Items to Your Collection

> Learn how to add football memorabilia to your FootyCollect collection using FKAPI search or manual entry

FootyCollect offers two powerful ways to add items to your collection: searching the Football Kit Archive database via FKAPI, or entering details manually. Both methods ensure your collection is accurately catalogued.

## Adding Items via FKAPI Search

The FKAPI (Football Kit Archive API) integration allows you to search and add items with pre-filled data including colors, designs, competitions, and logos.

  <Step title="Navigate to Add Item">
    Click the "Add Item" button from your collection dashboard. Select "Jersey" as the item type to access FKAPI search.

  <Step title="Search for Your Kit">
    In the "Search Kit" field, start typing:

    * Club name (e.g., "Real Betis")
    * Season (e.g., "2020-21")
    * Kit type (e.g., "Home")

    The search updates automatically as you type (debounced at 500ms). Results appear with thumbnail images from the Football Kit Archive.

  <Step title="Select Your Kit">
    Click on the kit that matches your item. FootyCollect automatically fills in:

    * **Brand** - Manufacturer name
    * **Club** - Team name and details
    * **Season** - Year (e.g., 2020-21)
    * **Competitions** - Associated competitions
    * **Colors** - Main and secondary colors
    * **Design** - Pattern type (stripes, plain, graphic, etc.)
    * **Country** - Country code
    * **Images** - Kit photos from the archive

    A hidden `kit_id` field stores the FKAPI reference.

  <Step title="Add Item-Specific Details">
    Fill in your specific item details:

    **Size** (required)

    * Select from available sizes (XS, S, M, L, XL, XXL, etc.)

    **Condition** (required)

    * Numeric rating: 1-10 (default: 10)
    * Detailed condition: BNWT, BNWOT, Excellent, Very Good, Good, Fair, Poor

    **Jersey Details**

    * **Player Name** - If it has a nameset
    * **Number** - Player number (0-99)
    * **Has Nameset** - Toggle if player name/number is printed
    * **Is Signed** - Toggle if autographed
    * **Fan Version** - Toggle (checked by default)
    * **Short Sleeve** - Toggle (checked by default)

    **Optional Fields**

    * **Name** - Custom name (auto-generated if left blank)
    * **Description** - Additional notes about the item
    * **Is Replica** - Toggle if it's a replica

  <Step title="Upload Photos">
    Add your own photos of the item:

    * Click the photo upload area or drag and drop images
    * You can upload up to 10 photos per item
    * The first photo becomes the main collection image
    * Photos are automatically optimized to AVIF format for faster loading
    * External images from FKAPI are downloaded and processed automatically

    <Note>
      Photos uploaded during creation are initially orphaned (stored temporarily) and associated with your item when you save. They're automatically cleaned up if not used.
    </Note>

  <Step title="Review and Save">
    Double-check all details and click "Add to Collection". Your item is saved and:

    * Photos are processed and optimized in the background
    * Club and brand logos are downloaded automatically
    * The item name is auto-generated following the pattern:

      `[Club] [Type] [Season] - [Size] - [Player#Number] - [Version] [Long Sleeve] - [Signed]`

      Example: "Real Betis Home 2020-21 - XS - Joaquin#17 - Player Version - Signed"

  For best FKAPI search results, search by club name first. The archive contains thousands of kits organized by club, season, and competition.

## Adding Items Manually

If your item isn't in the Football Kit Archive or you prefer manual entry, you can enter all details yourself.

  <Step title="Select Item Type">
    Choose from:

    * **Jersey** - Match shirts
    * **Shorts** - Match shorts
    * **Outerwear** - Jackets, hoodies, windbreakers, crewnecks
    * **Tracksuit** - Training tracksuits
    * **Pants** - Training pants
    * **Other** - Pins, hats, caps, socks, etc.

  <Step title="Enter Core Information">
    **Required Fields**

    * **Name** - Descriptive name for your item
    * **Brand** - Manufacturer (searchable dropdown)
    * **Club** - Team (searchable dropdown)
    * **Season** - Year or range (e.g., "2023-24")
    * **Size** - Item size (for applicable types)

    **Colors**

    * **Main Color** - Primary color (dropdown with standard colors)
    * **Secondary Colors** - Additional colors (multi-select)

    Colors not in the dropdown are automatically created when you enter them.

  <Step title="Add Details">
    **Item Condition**

    * Numeric condition: 1-10 scale
    * Detailed condition dropdown for specific states

    **Additional Information**

    * **Competitions** - Associated leagues/tournaments (comma-separated IDs)
    * **Design** - Pattern type: Plain, Stripes, Graphic, Hoops, Sash, etc.
    * **Country** - Country code (searchable with flags)
    * **Description** - Free-form notes and details
    * **Is Replica** - Checkbox for replica items

  <Step title="Upload Photos">
    Add photos of your item:

    * Click to browse or drag and drop
    * Upload up to 10 photos
    * First photo is the primary image
    * Photos are automatically converted to AVIF format

  <Step title="Save Your Item">
    Click "Save" to add the item to your collection. The item is initially saved as a draft until photo processing completes.
  </Step>

<Warning>
  All required fields must be filled before saving. If using FKAPI data, the brand, club, season, and competitions fields are auto-populated and validation is relaxed.
</Warning>

## Understanding Item Types

FootyCollect uses Multi-Table Inheritance (MTI) for different item types:

| Item Type     | Specific Fields                                                               | Use Case                    |
| ------------- | ----------------------------------------------------------------------------- | --------------------------- |
| **Jersey**    | Size, Kit, Player Name, Number, Fan/Player Version, Signed, Short/Long Sleeve | Match and training shirts   |
| **Shorts**    | Size, Number, Fan Version                                                     | Match and training shorts   |
| **Outerwear** | Type (Hoodie/Jacket/Windbreaker/Crewneck), Size                               | Training and casual wear    |
| **Tracksuit** | Size                                                                          | Full training suits         |
| **Pants**     | Size                                                                          | Training pants              |
| **Other**     | Type (Pin/Hat/Cap/Socks/Other)                                                | Accessories and memorabilia |

All item types share common fields: brand, club, season, condition, colors, description, and photos.

## Tips for Accurate Cataloguing

  **Use FKAPI when possible** - Pre-filled data ensures accuracy and saves time. The archive contains detailed information about kits, including exact colors and competition badges.

  **Be specific with conditions** - Use the detailed condition field (BNWT, Excellent, etc.) in addition to the numeric rating for better tracking.
</Tip>

<Tip>
  **Add player names carefully** - If your jersey has a nameset, fill in both the player name and number fields, then toggle "Has Nameset" on.
</Tip>

<Tip>
  **Photo quality matters** - Upload clear, well-lit photos. The first photo is your collection's main image. FootyCollect automatically optimizes them for web display.

<Note>
  Items are saved as drafts initially when photos are being processed. Once all photos have been converted to AVIF format and optimized, the draft flag is automatically removed.
